Conditions of Hire

1.

Bookings

Must be made on the official Town Hall Booking Form. (Verbal requests must be confirmed by the completion of a Booking Form and sent/delivered to [email protected] /  Stephen Swinbank, ‘Tunbarr’ 1b, Windmill Close, Ivinghoe. LU7 9EW ~Tel: 01296-660680).

~ PRE-PAYMENT  IS REQUIRED TO LOCK & SECURE YOUR BOOKING ~

2.

Payments

Cheques and/or Electronic Payments ONLY must be made ASAP to Secure your Booking.

ALL BOOKING FORMS & PAYMENTS are to be sent or delivered To: Ivinghoe Town Hall Booking Clerk ~ c/o ‘Tunbarr’, 1b Windmill Close, IVINGHOE, Bucks, LU7 9EW

  ~ Payments:  ~ 1. ELECTRONIC to: Ivinghoe Town Hall Management Committee’ - details on request

    (NO CASH)  ~ 2. CHEQUES       to  ‘Ivinghoe Town Hall Management Committee’

~  PLEASE LET ME KNOW ASAP IF YOU HAVE MADE AN ‘ELECTRONIC PAYMENT TO SECURE YOUR BOOKING

3.

Music and Disco Amplification

THIS MUST BE CONTROLLED TO AVOID NUISANCE TO NEARBY RESIDENTS.  (FAILURE TO DO SO  - LEADING TO COMPLAINTS, INCLUDING THOSE TO THE POLICE - PUTS THE RENEWAL OF THE TOWN HALL LICENCE AT RISK.)

4.

Cancellation

Hiring Fees are payable in full unless 7 days email/written notice is given.

5.

Hot Water Urn

This must not be removed from the kitchen.  The Extractor must be “On” during use in the kitchen.

6.

Library Hours

The Town Hall is not normally for hire during Library opening hours - except by special agreement - in order to ensure no disturbance. (Quiet activities are permitted e.g., No Parties, Music or Dancing).

7.

Crockery

The approximate 40 place settings of crockery are available as part of the Hall hiring charge.

8.

Period / Block Bookings

Payment is requested promptly upon invoice prior to the fist hiring date.  The Management Committee reserves the right to withdraw this facility at any time.

9.

Capacity

Attendance at the Town Hall is limited, by law as follows

Close Seating / Theatre Style - 120

Dancing / Seated at Tables - 60

10.

Music, Dancing and Alcohol Licences

Music and Dancing, the Town Hall is licenced between 14.00 and 23.45 only.

Sale of Alcohol, the Town Hall does NOT hold a licence. For this a “Temporary Event Notice” is required. The Hirer is to obtain the Licence from Buckinghamshire Council. For parties wedding receptions, etc. where it is possible to sell alcohol, proof of licence will be required to be shown to the booking clerk.

11.

Fire and Emergency Regulations

Hirers must familiarise themselves with the fire and emergency information displayed on the Notice Board.

12.

Police Advice

Thames Valley Police have requested that all Discos and Parties WITH ALCOHOL are notified to them.

13.

Front Door Bell

A door bell may be switched on for the benefit of late arrivals. (Located ~ R/H wall in the Entrance Hall).

14.

Window Keys

Window keys are included with the keys supplied to Hirers. Instructions, as to use, are displayed in the Hall.

15.

Kitchen

There is a range of electrical equipment available. Notices for their use are displayed.  Please read before use.

16.

Hanging items on walls, etc.

Please use only ‘Masking Tape’ or similar on Walls & Floor. (NO DUCK TAPE etc ~ damages surfaces).

17.

Chair Lift

Must be returned to Stop/Charging position after use. (Key is required to use ~ contact Booking Clerk ~ 01296 660680).

18.

Finally

Please ensure the Hall is left in a clean and tidy condition and check that all equipment has been turned off.

The Committee reserve the right to add such other Special Conditions, as they consider necessary.
